Privacy policy

This policy explains how Skillix collects, uses, stores, and discloses personal information when you use the Skillix workforce operations platform, companion mobile application, and public website. When your employer or another organisation provides your Skillix account, that organisation also determines why your workforce information is used and who within the organisation can access it.

Information we handle

The information handled through Skillix depends on the modules and workflows your organisation uses. It may include:

  • account, identity, contact, employment, role, and organisation information;
  • rosters, attendance, timesheets, leave, payroll context, expenses, travel, and accommodation records;
  • training, competency, licence, medical booking, fitness, and workforce compliance information;
  • safety reports, incidents, hazards, corrective actions, site access, and operational records;
  • documents, photographs, files, form responses, signatures, notes, and other evidence you submit;
  • precise location when you use a workflow that requires location context, such as an enabled safety or site check-in workflow; and
  • device, session, synchronisation, security, diagnostic, and usage information needed to operate and protect the service.

How we collect information

We receive information from you, your employer or organisation, authorised users, connected providers, and the devices and browsers used to access Skillix. The mobile app can store authorised records on your device so supported field work can continue offline and synchronise when a connection returns.

Why we use information

We use information to:

  • provide, synchronise, secure, support, and improve Skillix;
  • authenticate users and apply tenant, role, and permission controls;
  • support workforce planning, safety, compliance, payroll, travel, communication, and other configured operations;
  • send operational notifications and maintain audit records;
  • diagnose faults, prevent misuse, and meet legal or regulatory obligations; and
  • respond to support, privacy, and account requests.

Skillix does not use personal information for third-party advertising or sell personal information.

Who can receive information

Information may be available to authorised users within the organisation that operates your Skillix account, according to its roles and permissions. We may also disclose information to service providers that host, secure, communicate, support, or integrate the service; to connected systems selected by your organisation; when required by law; or when necessary to protect people, rights, and service security. Service providers are permitted to handle information only for the services they provide to us.

Storage, security, and retention

We use technical and organisational safeguards designed to protect information, including encrypted network connections, access controls, tenant separation, and audit records. No system is completely secure. Information may be processed in locations where Skillix or its service providers operate. We retain information for as long as needed to provide the service, meet the organisation's configured operational and recordkeeping requirements, resolve disputes, protect the service, and comply with law.

Your choices and rights

You can decline optional device permissions, although the related feature may not work. If your account is managed by an employer or another organisation, contact that organisation to access, correct, delete, or restrict workforce records it controls. You can also contact Skillix about a privacy or account-deletion request. We may need to verify your identity and coordinate with the organisation that controls the account.

Children

Skillix is a workforce operations service and is not directed to children. Organisations must only create accounts and submit information where they have authority to do so.

Changes to this policy

We may update this policy as the service or legal requirements change. We will publish the current version here and update the effective date when material changes are made.
